Booking Terms & Conditions

Understand the policies and requirements that apply to your safari, trekking, or holiday booking with Nature's Symphony Safaris.

1. Booking Confirmation

A booking is considered confirmed only after Nature's Symphony Safaris has issued written confirmation and received the required deposit. All reservations are subject to availability of accommodation, transportation, park permits, guides, and other travel services at the time of booking.

2. Deposits & Payments

A deposit of 30%–40% of the total tour cost is required to secure your booking. The remaining balance must be paid no later than 30 days before the tour commencement date. For bookings made within 30 days of departure, full payment is required at the time of booking.

3. Pricing

All prices are quoted in United States Dollars (USD) unless otherwise stated. Prices are subject to change due to government taxes, park fee adjustments, fuel surcharges, supplier rate changes, or currency fluctuations. Confirmed bookings will generally not be affected unless exceptional circumstances occur.

4. Cancellation Policy

All cancellations must be submitted in writing. Cancellations made more than 60 days before arrival are eligible for an 80% refund of the deposit. Cancellations made 30–59 days before arrival are eligible for a 50% refund, while cancellations made 15–29 days before arrival qualify for a 25% refund. No refunds will be issued for cancellations made less than 15 days before arrival, no-shows, or unused services.

5. Amendments & Changes

Any changes to confirmed bookings, including travel dates, accommodation, itinerary, or participant details, are subject to availability and may incur additional charges or supplier penalties.

6. Travel Insurance

Comprehensive travel insurance is strongly recommended for all travelers. Coverage should include medical expenses, emergency evacuation, trip cancellation, personal injury, baggage loss, and other unforeseen travel-related incidents.

7. Passports, Visas & Health Requirements

Guests are responsible for ensuring they possess valid passports, visas, vaccination certificates, and any other required travel documentation. Nature's Symphony Safaris is not responsible for denied entry resulting from incomplete travel documents.

8. Accommodation & Transportation

Accommodation and transportation services are provided according to the confirmed itinerary and selected package category. In the event of unforeseen circumstances, we reserve the right to substitute services with alternatives of a similar or higher standard.

9. Client Responsibilities

Guests must follow the instructions of guides, drivers, park authorities, and local regulations at all times. Any costs arising from misconduct, negligence, or failure to comply with regulations shall be the responsibility of the client.

10. Health & Fitness

Clients must ensure they are physically and medically fit to participate in their selected activities. Trekking, hiking, and other adventure activities may require a higher level of fitness. Participation is undertaken at the client's own risk.

11. Liability

Nature's Symphony Safaris acts as an intermediary between travelers and independent service providers, including hotels, airlines, transportation companies, and park authorities. We shall not be liable for loss, injury, delay, damage, accident, or additional expenses resulting from acts or omissions of third-party suppliers or circumstances beyond our reasonable control.

12. Force Majeure

Nature's Symphony Safaris shall not be held liable for delays, cancellations, or changes caused by events beyond our control, including natural disasters, adverse weather conditions, pandemics, government restrictions, strikes, civil unrest, or other force majeure events.

13. Complaints

Any complaints or concerns should be reported immediately during the tour to allow prompt resolution. Written complaints submitted after the tour must be received within 14 days of tour completion.

14. Photography & Marketing

Nature's Symphony Safaris may use photographs or videos taken during tours for promotional and marketing purposes unless the client requests otherwise in writing before the commencement of the tour.

15. Acceptance of Terms

By making a booking, paying a deposit, or participating in any tour organized by Nature's Symphony Safaris, clients acknowledge that they have read, understood, and agreed to these Terms & Conditions in full.
